Email Templates


 


There are a number of email templates available in your BillingOrchard system.  These templates allow you to relay specific information to your clients in regard to new client setups, how invoices are sent, past due invoices and credit card statuses.  


Additionally, each template offers a list of variables which allow you to further customize your emails, pulling in keywords/data as desired.  For example, the variable "CONTACT_NAME" will pull in the full contact name attached to the client file being emailed.  The variables offered for each email template are shown below.


The default email templates currently available are as follows:


Email Auto Recurring Invoices


You may customize a template to use each time you send a client an invite email to view their invoice online or in a PDF. There are several placeholders that can be used to automatically insert the PDF URL and HTML URL into the email, which are outlined below.

Resend Past Due Invoices


You may customize a template to use when an invoice is a specified number of days past due as well as continue sending past due reminders at pre-specified intervals. There are several placeholders that can be used to automatically insert information about the invoice into the email.

Email Credit Card Expiration Notices


You may customize a template to use when a client's credit card on file is about to expire. There are several placeholders that can be used to automatically insert the credit card type and expiration date into the email.

Email Credit Card Declined Notices


You may customize a template to use when a scheduled credit card or ACH payment transaction is declined. There are several placeholders that can be used to automatically insert information about the invoice into the email.

Set Client invite Email Defaults


You may customize this template to use each time you send clients their login and password information. There are several placeholders that can be used to automatically insert the client login and password and your company name into the email.
